We are seeking a dedicated and detail-oriented Shipping and Procurement Specialist to join our team. This role plays a crucial part in ensuring the efficient movement of goods and materials both within our organization and across external partners. To be successful, the ideal candidate will possess a strong understanding of construction, procurement processes, logistics, and supply chain management, with the ability to optimize costs, maintain inventory levels, and streamline shipping operations.

Opportunity
At ZS2, you’ll join a fast-growing, entrepreneurial team of problem-solvers—engineers passionate about the environment, marketers allergic to greenwashing, and researchers executing actionable decarbonization. Collaboration is at our core, with interdepartmental teams tackling some of the most pressing challenges in climate and construction.
Responsibilities:
- Procurement:
- Collaborate with internal departments to identify procurement needs and specifications for goods and services.
- Source potential suppliers, obtain quotations, and negotiate pricing and terms to achieve cost-effective procurement solutions.
- Ensure timely and accurate placement of purchase orders, considering lead times and inventory requirements.
- Monitor supplier performance, resolve issues, and maintain strong relationships to ensure reliable and consistent supply.
- Inventory Management:
- Implement inventory control measures to optimize stock levels while minimizing excess or obsolete inventory.
- Monitor inventory levels, anticipate shortages, and coordinate replenishment orders to maintain uninterrupted production and customer service.
- Conduct regular inventory audits and reconcile discrepancies between physical stock and records.
- Shipping and Logistics:
- Organize and coordinate domestic and international shipments, ensuring compliance with regulations and documentation requirements.
- Select appropriate carriers, negotiate shipping rates, and track shipments to ensure timely and accurate delivery.
- Address shipping discrepancies, damages, and disputes, working closely with carriers and internal teams for resolutions.
- Documentation and Recordkeeping:
- Maintain accurate records of procurement activities, contracts, purchase orders, invoices, and shipping documents.
- Prepare reports and analysis on procurement and shipping metrics, providing insights to support decision-making.
- Cost Management:
- Analyze procurement and shipping costs, identifying opportunities for cost reduction and process improvement.
- Collaborate with finance and accounting teams to ensure accurate cost allocation and budget adherence.
- Compliance and Risk Management:
- Stay updated on relevant regulations, tariffs, and trade agreements to ensure compliance during procurement and shipping activities.
- Mitigate potential risks related to procurement and shipping by implementing appropriate strategies and safeguards.
Qualifications
- Bachelor’s degree in supply chain management, Business Administration, or a related field (or equivalent experience).
- Proven experience in procurement, logistics, and inventory management.
- Strong negotiation skills and the ability to build and maintain relationships with suppliers and carriers.
- Proficiency in using procurement software and inventory management systems.
- Excellent organizational skills with meticulous attention to detail.
- Strong analytical and problem-solving abilities.
- Effective communication skills, both written and verbal.
- Knowledge of international shipping regulations and customs procedures is a plus.
- Certification in supply chain management (e.g., APICS, ISM) is advantageous.
